About the Office Services Assistant Position 

The company is looking for an experienced Office Services Assistant to join its Bethesda’s office in Maryland. Working under the supervision of the Financial Department Director, the Office Services Assistant will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety. This position requires the handling of a wide range of administrative and executive support related task and competencies in processes management, expense reporting, vendors’ qualification and management. The candidate must be well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.

Role and responsibilities:

The permanent responsibilities of the Office Services Assistant include, but are not limited to the

  • Communication:
    • Serve as the point person for office services duties including maintenance, mailing, shopping, supplies, equipment, bills, and errands. Review, approve and procure employees supplies requests etc.
    • Organize and handle the company phone and mailing system (incoming calls, transfers, messages, etc..)
    • Organize the logistics around clients meetings and internal office gatherings, events
  • Financial
    • Validation of employee’s expenses.
    • Helping the Financial Director in the data gathering and correction/following of the Time tracking system.
    • Helping in timesheet data collection on a regular basis reporting to the Financial Director.
  • Vendor management
    • Organize office operations in regards to the company procedures (SOPs);
    • Manage contract and price negotiations with office vendors, service providers.
    • Manage relationships with vendors, service providers to ensure that items are being handled on time.
    • Organize auditors/assessors travels (flight, hotel reservations, car rental) and suggest optimization of tools/process/costs.
  • Equipment and systems:
    • Maintain office efficiency by planning and implementing office systems, layouts, and
      furniture and equipment procurement.
    • Organize/monitor the assets management.

About the candidate’s profile

  • Effective organization and time managements skills
  • Ability to anticipate and to manage multiple tasks
  • Strong attention to detail
  • Experienced in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)
  • Team player and excellent communicator
  • Strong communication skills both written and verbal
  • Fluency in English is essential and other language skills desirable ( French or Spanish)
  • Authorized to work in the US
